Seeking Office Assistant

O’Neill Construction Group is hiring for an Office Assistant who will act as the first point of contact for our company and will provide exceptional service to our incoming clients, business partners and guests as well as our internal team. This position will handle the flow of people through the business, answer incoming calls, direct callers/visitors to others, take and distribute messages and provides overall administrative support to the organization.




Essential Functions


  • Pleasantly answers, screens and forwards all incoming phone calls, greets visitors and delivery people and directs inquiries to the proper party (familiarize with staff and their roles to appropriately direct calls and guests).

  • Will be cross trained in book keeping and act as backup to our Controller for payroll.

  • In charge of New Hire Orientation and assuring all required paperwork is turned in, and returned to company Controller.

  • Manages Personal Protective Equipment and its distribution.

  • Responsible for Company timecard collection, logging, and insuring accuracy before submitting to Controller.

  • Exhibits professional appearance and behavior to callers and visitors. Displays a friendly, outgoing, and welcoming attitude.

  • Maintains conference room’s physical appearance and calendar; schedules use based on availability.

  • Receive, sort and distribute incoming and outgoing mail, packages and faxes.

  • Maintains daily log of incoming/outgoing packages and arranges for delivery/pickup from Field.

  • Responsible for ordering, storing and distributing office supplies and for maintaining postage and postage/shipping labels, and certified mail.

  • Serves as a role model and promotes professional behavior.

  • Performs clerical duties such as filing, photocopying, faxing, stocking etc.

  • Assist all departments as needed.

  • Maintains confidentiality with sensitive or proprietary information on behalf of managers/executives, culture, leadership and team.

  • Take out garbage and recycling every other week.

Job Requirements


  • Must be self-motivated and able to find productive things to keep busy during lulls.

  • High school diploma as well as 2+ years related experience required.

  • Possesses strong computer and data entry skills and proficiency in Microsoft Office Suite, Outlook, and Excel.

  • Communicates effectively verbally and in writing, distribute/share information in a timely manner.

  • Relates well to all levels of staff and consistently provide excellent support.

  • Must have the capacity to be empathetic and a team player.

  • Uses time effectively based on key priorities.

  • Shows personal commitment to improving skills.

  • Must understand and comply with strict confidentiality.

  • Acts in a manner of integrity that shows support for the company, its values, and the employees, while maintaining constant focus on meeting/exceeding customer requirements and expectations.

  • Possesses an Oregon Notary Qualification or Willing to obtain within 3 months of hire.

Position is Monday – Friday 8 AM – 4:30 PM
